KEY RESPONSIBILITIES:

  • Commission Documentation Management:
    • Received and manage documentation related to partner commissions verified, get authorized signature including appendices.
    • Ensure all commission agreements are accurate, complete, and up-to-date.
    • Organize and maintain a centralized repository for all commission-related documents, ensuring easy access and retrieval, returned to regional office/partners
  • Validation and Verification:
    • Review commission documentation for accuracy and compliance with company policies and partner agreements.
    • Address and rectify any discrepancies or issues in commission documents.
    • Monthly, control commission renewal cases to remind and print renewal letters for partner commission such as target bonus, salesman commission… 
  • Reporting and Record-Keeping:
    • Generate and maintain detailed reports on commission documentation, including status updates, pending approvals, and historical records.
    • Track and document changes or updates to commission agreements and ensure proper version control.
    • Manage the onboarding process for new salesman (CD/TW), including setting up salesman code, configuring systems, and ensuring all necessary documentation is completed.
    • Assist in preparing reports for audits and compliance reviews as needed.
  • Partner and Internal Communication:
    • Serve as a point of contact for partners and internal teams regarding commission documentation and related inquiries.
    • Provide clear and timely responses to questions about commission agreements and documentation.
    • Collaborate with finance, legal, and partnership teams to ensure alignment and address any issues related to commission documentation.
  • Process Improvement:
    • Identify opportunities to streamline documentation processes and enhance efficiency.
    • Implement best practices for managing and organizing commission documents.
    • Stay informed about industry standards and technological advancements to continuously improve documentation practices.
  • Compliance and Security:
    • Ensure all commission documentation complies with legal and regulatory requirements.
    • Maintain the confidentiality and security of sensitive financial and contractual information.
    • Assist in conducting internal audits to verify the accuracy and completeness of commission documentation.

JOB REQUIREMENTS:

  • At least 1 years of experience in sales admin, administrative work/ document control.
  • Careful & meticulous.
  • Knowledge of records management procedures and standards
  • Good communication skills
  • Good Microsoft word, excel skills
  • Basic English skills : writing, reading
  • Detail-oriented
  • Ability to work independently and as part of a collaborative team
